The Ultimate Guide to the Journal Proper
In the world of accounting, we use Special Purpose Books to make our lives easier. Cash transactions go into the Cash Book, credit purchases of goods go to the Purchases Book, and credit sales go to the Sales Book. But what happens to a transaction that doesn't fit into any of these categories?
This is where the Journal Proper (also known as the General Journal) comes in.
The Journal Proper is a residual book of original entry. It is used to record only those transactions which cannot be recorded in any other specific subsidiary book. It follows the standard double-entry format (Debit and Credit).
The 6 Types of Entries Recorded in the Journal Proper
There are six main categories of transactions that are exclusively recorded in the Journal Proper. Let's explore each one with practical examples.
1. Opening Entries
At the beginning of a new financial year, a business must bring forward the closing balances of assets, liabilities, and capital from the previous year's balance sheet into the new books. This is done via an Opening Entry.

2. Closing Entries
At the end of the financial year, all nominal accounts (expenses, losses, incomes, and gains) must be closed by transferring their balances to the Trading and Profit & Loss Account. These transfer entries are recorded in the Journal Proper.

3. Transfer Entries
When an amount needs to be transferred from one account to another, a transfer entry is passed in the Journal Proper. The most common example is transferring the owner's Drawings into their Capital account at year-end.

4. Adjusting Entries
To prepare accurate financial statements, certain items must be adjusted at the end of the year to follow the accrual concept of accounting. These include outstanding expenses, prepaid expenses, accrued income, and depreciation.

5. Rectification Entries
Humans make mistakes. If an error is discovered in the accounting books (such as debiting the wrong account or recording the wrong amount), you cannot simply erase or cross out the ink. You must pass a Rectification Entry in the Journal Proper to correct the math.

6. Miscellaneous Entries
Finally, the Journal Proper catches all other random, non-cash, and non-trading transactions that don't belong in the other day books. Common examples include:
- Purchase or Sale of Fixed Assets on Credit: (Remember, the Purchases/Sales books are only for trading goods).
- Goods withdrawn for personal use: (Drawings in goods).
- Goods distributed as free samples or charity.
- Goods destroyed by fire or theft.
- Bad Debts: (When a customer becomes insolvent and cannot pay).
- Endorsement or Dishonour of Bills of Exchange (if a separate Bills book is not maintained).
Example B: Goods costing Rs. 2,000 were distributed as free samples for advertising.
